These Terms and Conditions form a legally binding agreement between you (the client) and Dream Paradise Tours & Treks Pvt. Ltd. (the company) for all trekking, tour, mountaineering, and adventure services we provide.

By accessing our website, submitting a booking form, or confirming any trip, you acknowledge that you have read, understood, and agreed to these Terms and Conditions. Please read them carefully before making any booking.

All bookings made through Dream Paradise Tours & Treks Pvt. Ltd. are governed by this agreement. Once you submit a booking form, it acts as a provisional confirmation of your trip. Your booking will be finalized after we receive the required advance payment. After confirmation, you will receive an official booking receipt and trip details.

These terms outline the mutual trust and responsibilities between you and the company. Both parties agree to maintain honesty, cooperation, and transparency in all trip-related matters.

By confirming a booking, you accept that travel and adventure activities in Nepal may involve risks such as weather conditions, flight delays, or natural events beyond human control. While the company always ensures safety and reliability, it cannot be held liable for unavoidable circumstances.

It is mandatory to read and understand these terms, including booking, cancellation, and liability policies, before submitting an online booking form. Both the company and the client agree to resolve any disputes or misunderstandings with fairness and mutual respect under the laws and jurisdiction of Nepal.

Trip Booking and Payments

The term “Trip” refers to any product, itinerary, or activity offered by Dream Paradise Tours & Treks Pvt. Ltd., including trekking, hiking, sightseeing, mountaineering, expeditions, cultural tours, and other adventure programs featured on our website or marketing materials.

To book any trip, clients must complete our booking form and send a 10% deposit of the total trip cost to the company’s official bank account. Submitting the booking form and deposit confirms your acceptance of these Terms and Conditions.

Along with the deposit, clients are required to provide the following:

• One passport-size photo

• A copy of a valid passport

• A copy of travel insurance details

Once we receive your payment and documents, we will send you an official confirmation email and receipt, marking your booking as confirmed and definite.

Deposits are calculated per person, per trip basis. Please contact us directly for deposit instructions and payment details.

If the payment is made through bank transfer, any associated bank service charges must be paid by the client.
For credit card payments, a 4% processing fee will apply. (We currently accept Visa and MasterCard only.)

Email confirmation from the company serves as the final proof of your booking acceptance. From that date, your trip is officially secured with Dream Paradise Tours & Treks Pvt. Ltd.

• Booking & Payment Policy for Nepal Trips

To confirm your Nepal trip, a non-refundable 10% deposit of the total trip cost is required within two weeks of booking inquiry. This advance payment confirms your participation and allows us to make essential arrangements such as hotel reservations, flight tickets, ground transportation, and permits. Once the deposit is received, all services are carefully organized for your journey. Deposits can be made via bank transfer or secure 3D-authenticated credit cards (Visa, MasterCard, or American Express). Detailed payment instructions will be provided by email during the booking process.

The remaining 90% balance can be paid upon your arrival in Nepal – during your pre-trip briefing before the trek or tour begins. Final payment can be made by cash, bank transfer, or credit card, with a 4% surcharge applied to card payments as per the service provider’s policy. To avoid extra fees, we recommend completing the payment in cash when possible. Final trip documents and confirmations are issued once full payment is received, ensuring a smooth and worry-free travel experience.

This straightforward booking and payment process guarantees your trip is secured efficiently while maintaining flexibility and transparency for every traveler.

• Easy & Secure Booking Policy

We make your travel plans simple and secure. All bookings must be made at least 24 hours in advance to ensure availability and a smooth experience.

A booking is your official arrangement for a specific journey with us. To reserve your trip, contact our team directly. Once your booing is confirmed via email or invoice, you enter into a legally binding agreement with Dream Paradise Tours & Treks.

Whether you’re planning in advance or deciding at the last minute, we’re here to make your adventure seamless. We accept last-minute booking up to 24 hours before your trip with full payment, offering flexibility for travelers who couldn’t confirm earlier. Please note that last-minute booking are only available within Nepal, not for India, Bhutan, or Tibet due to travel regulations. • Trip Postponement and Transfer Policy

We understand that unforeseen circumstances may affect your travel plans. If you need to postpone your trip, please notify us in writing at least 30 days before the departure date. For Nepal trips, a 10% fee applies if postponed within 48 hours of departure, while Tibet trips incur a 50% fee. This ensures flexibility while helping us manage trip arrangements effectively.

You may also transfer your booked slot to another suitable person up to 30 days before your trekking start date. Simply send a written request, and we will process the transfer. The person taking your place must submit all mandatory documents for the trek, duly completed and signed. This policy allows you to adjust your plans while giving others the opportunity to enjoy the trip.

• Flexible Travel Date Policy

We offer a flexible booking policy that gives you peace of mind when travel plans change. If your schedule shifts or you need to postpone your trip, you can rebook your journey at no additional cost. Simply inform us at least 5 days before your scheduled departure, and you’ll have the freedom to choose any new travel date that fits your convenience.

This policy ensures zero change fees and complete flexibility, allowing you to travel when you’re truly ready. With Dream Paradise Tours & Treks, your adventure remains secure, convenient, and stress-free, because we believe travel should always work around you.

Company Cancellation Policy

• Cancellation by Client

We understand that unexpected situations can arise, making it necessary to change or cancel your travel plans.In such cases, our flexible and transparent cancellation policy ensures that clients are treated fairly. If cancellation is required due to unforeseen circumstances, we provide a refund of the advance payment according to our company guidelines.

To cancel a trip, please send us an email with valid reasons. Upon receiving your request, we will begin the refund process as outline below:

• If you cancel your trip 48 hours before departure, a 10% cancellation fee will be deducted from the total amount.
• Cancellations made 5 days before departure or upon arrival in Kathmandu are fully refundable (excluding transaction charges).
• For cancellations made less than 48 hours before departure, 10% of the total cost will be deducted as a cancellation fee.
• Once a trip has started, no refunds will be issued for voluntary withdrawal or unused services such as accommodation, transport, sightseeing, meals, or other inclusions.

Rufunds are processed promptly, though it may take 5 to 7 working days for the bank to complete the transaction. Our goal is to ensure clarity, fairness, and peace of mind for all our valued travelers.

Note: Your travel plans should come with peace of mind-not pressure. If a trip to Nepal is canceled after you’ve made an advance payment, your deposit will remain 100% safe as a lifetime credit. you can use this deposit to reschedule your trip anytime in the future, regardless of the month or year.

This flexible policy ensures your hard-earned money never goes to waste. whether you choose to travel next season or years later, your deposit will always be valid toward your next booking.

• Trip Cancellation by Dream Paradise

In rare situations, unexpected events beyond anyone’s control may cause delays or require changes to your travel plans. When such circumstances occur, we ensure complete flexibility and fairness by allowing rescheduling or alternative trip options that best suit your availability.

If a trip must be canceled due to unavoidable reasons such as natural disasters, political unrest, or social and cultural restrictions, we provide suitable solutions to safeguard your investment. Depending on the situation, travelers can either postpone their trip, switch to another itinerary of similar value, or receive reimbursement according to our company policy.

Occasionally, local authorities may restrict travel due to religious, economic, or environmental reasons. In such cases, we assist travelers in rearranging their plans smoothly without financial loss.

We kindly remind travelers to take guides’ or Sherpa’s advice seriously, especially regarding weather, trail conditions, or safety concerns. The trek leader’s decision is final to ensure everyone’s well-being.

This policy is designed to offer peace of mind, transparency, and protection, ensuring that your journey remains positive even when plans change unexpectedly. Our goal is to make sure your travel experience stays safe, enjoyable, and worthwhile-no matter the circumstances.

• Trip Changes and Pricing Policy

We understand that travel plans can change unexpectedly due to natural disasters, weather disruptions, or flight delays. In such situations, flexibility and fairness are our priorities. If your trip is canceled or interrupted for reasons beyond your control, an alternative trip of equal value will be arranged, or you can reschedule your journey for a later date. When rescheduling, you will only be charged for the services already used from your original booking, and if the new trip costs more, you’ll simply pay the price difference.

Most of our travel packages are based on twin-sharing accommodations. A single-room supplement fee applies if there is no other participant to share a room. Prices may also be revised due to factors such as currency fluctuations, changes in government policies, or other external circumstances. We remain dedicated to providing transparency, value, and reliable service to ensure every traveler enjoys a smooth and worry-free experience.

• Incoplete Trip & Itinerary Change Policy

At Dream Paradise Tours & Treks, your safety and satisfaction are our top priorities. However, in the event that a client fails to complete a trip for any reason, please note that no refunds will be issued for unused services such as meals, accommodation, transportation, or other inlusions. Additionally, if a traveler engages in any unlawful activity and is required to leave Nepal, the company will not be held responsible for any refund or compensation.

Our itineraries are carefully designed for an enjoyable and safe experience, but unforeseen circumstances such as weather, political instability, road conditions, or safety concerns may require adjustments, The tour leader reserves the right to alter or modify the itinerary as needed. Alternative routes, activities, or schedules may be suggested to ensure the best possible experience for the group. In cases involving ferry timetables or flight delays, changes may occur due to weather or last-minute decisions by transport operators.

At Dream Paradise Tours & Treks, we strive to maintain transparency and flexibility while prioritizing your safety and comfort throughout the journey.

• Missed or Discontinued Trip Policy

If, for any reason, you decide to discontinue your trip before its completion, the cost of your return and any additional expenses will be your responsibility. whether travelinng solo or in a group, no refunds are provided for unused services, missed programs, or incomplete itineraries caused by personal decisions.

We understand that unforeseen situations can arise, but once the trip has begun, the program cost remains non-refundable. We encourage all travelers to plan carefully and communicate with us in advance if any changes are required, so we can assist you in the best possible way.

• Trip Duration Policy

All trips are organized according to the duration mentioned in each package. If your trip is completed earlier than planned, no refund will be issued for unused services or days. However, if your trip extends beyond the scheduled duration due to personal preferences or unforeseen reasons, additional charges will apply.

Group Discounts

Dream Paradis Tours & Treks offers an exclusive 10% group discount per person on our listed trip prices for groups of six or more travelers. Whether you’re planning an adventure with friends, family, or collagues, we provide the best group packages to make your journey memorable and affordable. We also organize trips for individuals or smaller groups; however, the group discount applies only to groups of six or more. • Children Policy

Children under sixteen years of age must be accompanied by a legal guardian throughout the journey. Unaccompanied minors below 16 years are not permitted to joun any trip. THe guardian is fully responsible for the safety, behavior, and personal belongings of the child during the entire travel period.

For pricing, children below 9 years receive a 50% discount on the trip cost, while children aged 10 years and above are charged the full price. This policy ensures safety, comfort, and fairness for all travelers while maintaining a family-friendly travel experience.

• School and College Group Discount

Dream Paradise Tours and Treks proudly offers special discounted trip packages for school and college groups who wish to volunteer and make a positive impact in remote Nepali communities. These educational and service-oriented trips are designed to encourage youth participation in community development while experiencing Nepal’s culture and natural beauty. Students will receive exclusive group rates lower than the listed trip prices, available at the time of booking. Please note that discounts are not applicable to trips booked before or after the offer duration. • Price Validity and Future Rate Adjustment Policy

The prices listed are valid for the year 2026. However, future rates may be subject to change due to factors beyond our control. These may include fluctuations in exchange rates, government tax revisions, changes in hotel or lodge pricing, staff salary adjustments, or other market-related influences that impact overall costs.

We strive to maintain fair and transparent pricing for all travelers. Any changes in rates will be communicated clearly to ensure you are fully informed before confirming your trip. Our goal is to provide you with the best value and service while keeping our pricing as consistent and reliable as possible.

Traveler Conduct and Compliance Policy

All travelers are expected to strictly follow the laws, regulations, and customs of Nepal and any other destinations included in their journey. This includes adhering to rules related to health, immigration, currency exchange, and other legal matters. Respecting local culture and traditions is an essential part of responsible travel.

Travelers are also required to follow the reasonable instructions of trek or tour leaders, guides, and team members to ensure safety and harmony throughout the trip. Every participant is encouraged to support eco-friendly and sustainable travel practices, helping to protect the natural environment and preserve local communities for future generations.

Risk & Liabilities

Adventure travel in the Himalayas involves certain risks, and every traveler should understand and accept them before embarking on their journey. Traveling through high mountains and remote regions may mean encountering limited infrastructure, varying hygiene standards, unpredictable weather, and challenging terrain. By joining our trips, you acknowledge these conditions and agree to participate at your own discretion and responsibility.

We are fully committed to ensuring your safety, comfort, and satisfaction throughout the journey. Our dedicated team strives to make every experience memorable, honest, and enjoyable. However, we cannot be held liable for itinerary changes or delays caused by circumstances beyond our control-such as natural disasters, political unrest, flight cancellations, road blockages, landslides, or health issues. Any additional expenses arising from such situations will be the traveler’s responsibility.

Medical Conditions & Special Requirements

At Dream Paradise Tours & Treks, your health, safety, and comfort are our top priorities. To ensure a smooth and enjoyable travel experience, please inform us in writing at the time of booking about any existing medical conditions, physical limitations, or special requirements that may affect your ability to travel. Failure to disclose such information may result in the cancellation of your trip without refund, as certain health conditions can impact your safety and participation during the journey.

Conditions such as age, mobility issues, pregnancy, or other physical or mental challenges may affect your ability to complete specific trips. We strongly recommend that you review your chosen itinerary carefully and discuss any concerns with our team before confirming your booking. Our staff is happy to provide advice and help you choose the most suitable trip for your needs.

While we always do our best to accommodate special requests, including dietary preferences or medical needs-these must be agreed upon in writing before the trip. Please note that local medical facilities and services in remote trekking areas may vary in quality and availability, and we make no warranties regarding their standards. Travel Insurance Policy – Safety, Medical & Trip Protection for Travelers

Traveling in the remote Himalayan regions comes with natural challenges such as unpredictable weather, landslides, or floods – factors beyond anyone’s control. While every effort is made to minimize risks and ensure safety, a small possibility of accidents or emergencies always exists. Therefore, comprehensive travel insurance is mandatory for all travelers joining any trip in the Himalayas.

Your insurance policy must provide full coverage for the entire duration of your trip, including medical emergencies, evacuation (helicopter or air ambulance if necessary), accidents, injuries, illness, and repatriation. It should also include protection against trip cancellations, curtailment, loss of luggage, or personal belongings. Proof of valid insurance must be carried and shown when requested. Failure to provide this may lead to suspension or cancellation of your trip participation without a refund.

Since personal travel insurance is not included in the trip cost, travelers must arrange their own coverage before departure. Having the right insurance not only provides financial security but also ensures peace of mind and protection throughout your adventure – allowing you to explore Nepal’s majestic Himalayas with confidence and safety.

Visa and Passport Information

Before traveling, it’s essential to carry a valid passport and ensure that it remains valid for at least six months beyond your travel dates. Travelers must also obtain the appropriate visas required for their destination. It is each traveler’s responsibility to ensure all travel documents are complete and accurate before departure. Failure to present valid documents may result in denied entry, and in such cases, the company cannot be held responsible.

For most nationalities, a Nepal visa can be obtained upon arrival at Tribhuvan International Airport in Kathmandu or at designated land entry points. If you are planning to visit Tibet or Bhutan, necessary travel arrangements and permits can be organized upon request. However, for India, visitors must secure a visa from their home country prior to travel.

Proper documentation ensures a smooth and stress-free travel experience. We highly recommend checking visa regulations and passport validity well in advance to avoid any last-minute complications during your Himalayan journey.

Risk and Liability Policy

However, certain circumstances may arise beyond our control, such as natural disasters, flight delays, cancellations, political strikes, or road blockages. In such cases, any additional expenses caused by these unforeseen events must be covered by the traveler.

We reserve the right to adjust or modify travel arrangements if required due to unpredictable situations. While we do everything possible to minimize disruptions, we cannot be held responsible for losses, damages, or delays resulting from circumstances beyond our control. Travelers are advised to be flexible and prepared for potential itinerary changes during their journey.

Helicopter Rescue and Emergency Assistance Policy

In the event of an emergency where a helicopter rescue is required, clients are expected to fully cooperate to ensure a quick and safe operation. Rescue flights may be arranged immediately if a traveler’s life is at risk. All rescue and evacuation procedures are carried out with utmost priority to protect the client’s safety and well-being.

The expenses incurred during such rescue operations are generally claimed through the traveler’s insurance provider. However, if the insurance company fails to process payment within three days, the client will be required to cover the full cost of the rescue. This policy ensures timely assistance during emergencies while maintaining transparency and responsibility throughout the rescue process.

No prior notice, recourse, or compensation will be provided for the use of such materials unless otherwise agreed.

Compensation Policy

In the unlikely event that compensation is required, the company’s liability will be limited to the total amount paid by the client for the trip. We strive to ensure all services meet the highest standards; however, unforeseen circumstances may occur. In such cases, fair and reasonable compensation will be provided within the limits of the total payment made.

Impact on the Journey

We strive to make every trip comfortable, exciting, and truly memorable. However, travelers should note that the Himalayan region is different from modern, developed countries – facilities and services may be more basic in some areas. This is part of the adventure and authentic charm of traveling in Nepal, where breathtaking landscapes and rich local culture more than make up for the occasional lack of luxury. We encourage our guests to embrace the journey with an open heart and adventurous spirit.

Your Personal Belongings

Our team always strives to keep your belongings safe throughout the journey. However, please note that in the rare event of loss or damage to your items during transportation by porters, ponies, or vehicles, Dream Paradise Tours & Treks cannot be held responsible. We strongly recommend that all travelers obtain comprehensive travel insurance to protect against such unforeseen incidents.

Complaints and Service Feedback Policy

At Dream Paradise Tours & Treks, we deeply value your satisfaction and take every concern seriously. If you experience any issue during your trip, please inform your guide right away so we can address it immediately. Our team remains in constant contact throughout your journey to ensure smooth communication and quick resolution of any problems.

Applicable Law & Choice of Forum

These Terms and Conditions are governed by the laws of Nepal. Any dispute arising out of or in connection with these Terms and Conditions shall be resolved exclusively by the courts of Kathmandu, Bagmati Province, Nepal – including the District Court, the Appellate Court and the Supreme Court of Nepal located in Kathmandu. The parties agree that the courts of Nepal are the appropriate forum for any claim or proceeding relating to these Terms and Conditions, and no claim may be brought in any other country.
